SMS Consent & Opt-In Policy
How ApptSecure collects and manages SMS messaging consent from end customers
📋 How Consent is Collected
ApptSecure is a web-based SaaS platform that enables service businesses (salons, clinics, auto shops, etc.) to send automated SMS appointment reminders to their customers. SMS consent is collected through our web application's customer management interface.
When a business user adds a new customer through the ApptSecure web dashboard, the customer creation form includes a clearly labeled, unchecked SMS consent checkbox. The business user must actively select this checkbox to enable SMS appointment reminders for that customer.

Key compliance features of this opt-in workflow:
- The SMS consent checkbox is NOT pre-selected — the business user must actively check it
- The consent language explicitly mentions "SMS text message" so there is no ambiguity
- The consent language describes the type of messages (appointment reminders)
- The consent language mentions message frequency, data rates, and STOP opt-out
- SMS consent is separate from the general customer creation — it is a standalone consent action
- The business name is always displayed in the dashboard context
✅ Opt-In Confirmation Message
When SMS consent is enabled for a customer and their first appointment reminder is set up, the customer receives a confirmation text message:
[Business Name]: You've been opted in to receive SMS appointment reminders. Msg frequency varies. Msg & data rates may apply. Reply HELP for help, STOP to cancel.
🛑 Opt-Out Process
Customers can opt out of SMS messages at any time by replying with any of the following keywords:
- STOP
- CANCEL
- END
- QUIT
- UNSUBSCRIBE
Opt-outs are processed automatically and instantly. The customer receives a confirmation:
You have been unsubscribed from [Business Name] appointment reminders. No more messages will be sent. Reply START to re-subscribe.
❓ Help Message
Customers can reply HELP at any time to receive assistance information:
[Business Name] Appointment Reminders, powered by ApptSecure. For help, contact your service provider directly. Reply STOP to opt out. Msg & data rates may apply.
📱 Example Messages Sent
All messages sent through ApptSecure are transactional appointment reminders only. No marketing or promotional content is sent. Examples:
ABC Salon: Reminder — You have a haircut appointment tomorrow, June 15 at 2:00 PM. Reply YES to confirm, RESCHEDULE to change, or CANCEL to cancel. Reply STOP to opt out.
Smith Auto Repair: Your oil change appointment is in 1 hour (3:30 PM today). Reply YES to confirm or CANCEL to cancel. Reply STOP to opt out of messages.
Downtown Dental: Reminder — Your cleaning appointment is on Mon, June 16 at 10:00 AM with Dr. Johnson. Reply YES to confirm. Reply STOP to unsubscribe.
🔒 Consent Record Keeping
ApptSecure maintains an immutable audit trail of all consent events, including:
- Customer ID and phone number
- Timestamp of consent collection
- Method of consent (web form checkbox)
- Business user who recorded the consent
- IP address of the business user session
Consent records are retained for 5+ years per TCPA requirements and cannot be modified or deleted.
